My son has been taking trumpet lessons again for a few weeks now; I described how this came about here. Yesterday I received a reminder from “Kasse.Hamburg” because of the unpaid bill. I’m documenting my answer here – unfortunately a bit long because it was written in anger:

Yesterday I received a reminder from you (dated April 11, 2024) regarding the above-mentioned subject matter of the contract #######################, the invoice from the youth music school, file number ### #######, business partner number ########.

This surprises me very much and is also quite difficult to understand and annoying for me.

I received an invoice from “Kasse.Hamburg” in the mail. I received a form for a direct debit authorization. I filled this out by hand as soon as I received it and sent it back by post as you requested – in the hope that I wouldn’t have to worry about the bills. Now you’re sending me a reminder with reminder fees, even though I’ve done everything in my power to make this all happen without unnecessary difficulties on my part.

Obviously, the process specified by Kasse.Hamburg contains numerous breaking points – starting with sending the invoice by post instead of a modern digital method, plus the need to fill out the form by hand(!) with the account number and then send it again by post( !) to send back. I don’t know where the mistake happened – whether the post office squandered our letter or whether it was left in your inbox, it wasn’t processed by you, it was digitized incorrectly by Kasse.Hamburg, I know not. This is extremely annoying for me because of course I didn’t send the letter as registered mail (that would obviously have been the only way to prove that we had processed it? Or would fax have been ok too?).

So, conclusion: I am somewhat surprised at what an error-prone, complicated and untimely process is being used here by Kasse.Hamburg from the customer’s perspective and that I as a customer will now be stuck with the result (reminder fees and, above all, a lot of unnecessary work). .

I would like to ask you to check again whether the direct debit authorization for the invoices we gave you a few weeks ago is in your possession somewhere.

– If it still shows up at your door: Please be careful, I paid the reminder yesterday including the reminder fees. I don’t want to risk the already threatened “compulsory execution” which “is associated with further costs”. Then please don’t debit it again.
– If not, I ask you to send me another form for the direct debit authorization – preferably digitally (you know, it’s 2024) so ​​that I can at least fill it out on the computer. This also increases your chances of digitizing it without errors. (Of course it would be even better if I could issue the direct debit authorization directly on the computer. I can also send you a digitally signed direct debit authorization. 2024.)

I would like to ask for brief information about how this is going to continue – whether there is a new chance of issuing a direct debit authorization or how things are going now.
